Order Tallying and Frozen Foods Distributor #1’s presentation:I’ve got the best frozen product! [Product Presentation]. When the sellers turn in their brochures, take those order forms, add up the sales, round to the nearest case and call me with your order. The truck will arrive and you distribute product to the sellers using the order forms they turned in. Oh, you should either make a copy of the order forms or make a manual tally so you’ll have a record of who sold what. Here’s a coin envelope to use to collect your money. I use a cheap spreadsheet program so I can enter the names and quantities, and then put in the formulas to sort by last name and add the quantities and dollars. What else could you possibly want? Distributor #3’s presentation:I’ve got the best frozen product! [Product Presentation]. If you’ll provide me a roster of your group membership, then when I come to the school on kick-off day I’ll have brochures packaged by class/team and order forms with the sellers’ names pre-printed on them. In addition to being personalized, the order form tells how to make checks, who to turn the form in to, and the date to return. At the end of the order-taking period, simply collect the order forms, tear off the bottom copy for your records and send the top copy to me. I will take those orders and tally them using a specialized order-tally program that has become the standard of the fundraising industry, currently used by hundreds of distributors in over 45 states and Canada. I will return a set of record-keeping Class/Team Reports that will list sellers, alphabetized either overall or by class/team. The report will also show you the Prize Level each seller qualified for and the Prize Selected. The Summary Report lists each Class/Team and gives the overall results, including amount to be collected, sales tax (if any) and your profit. Your frozen cookie dough will be delivered directly to you from the manufacturer by appointment. To assist in product distribution, I will provide you with Personalized Pack Slips, each showing an itemized list of what the seller gets plus four adhesive name labels you can use to affix to the bag or box for that seller. If the sellers are collecting money as they deliver the product to their customers, I’ll provide a Personalized Money Collection Envelope that indicates the amount to return, date to return, checks payable info, and the name of the person to return to. If yours is to be a pre-pay sale (customer pays at the time of order), then my Pre-Pay Report includes the variance between what the customer actually turned in and what they should have paid. When money is collected, seal the envelope and turn it in to the group. Accounting for each seller’s amount is easy as the amount on the money collection envelope matches the record keeping report. To assist with your money collection record-keeping, I’ll provide our exclusive UCollect Software Disk, on which is every seller, their amounts paid and due, including itemized listing of product in their original order. With this disk on your laptop or school computer, you can keep track of multiple payments, account for returned or additional product, and have an always up to date balance. As you near the end of your money collection efforts, press a button to get an instant list of who still owes and how much. I can help with your Top Seller Award Calculations by providing you a Top Seller Report. To ensure no one is left out of the Prize Program, I provide a Prize Problem Report that shows you who qualified for prizes but did not select one – plus the names of any sellers who selected a prize from an invalid category, i.e. they qualified for Level C, but selected from Level D. Part of your Prize Program is to give away the extra tubs of cookie dough; the extras we had to send to round up to the nearest case. We will put the sellers name in the drawing for each 10 tubs of dough sold. To make that easy, I’ll provide you with pre-printed Drawing Tickets, with each seller’s name printed on the correct number of tickets. Everyone who sells $100 will be invited to a Special Party and I’ll provide the Invitation List. Distributor #4I’ve got the best frozen product! [Product presentation]. I use the same software as Distributor #3, but in addition to offering you the best product and the best tally and reporting services, I go one step farther. I know that one of the reasons you’re selling frozen food is that you’re tired of the logistics of dealing with the mega-import shopper brochure. I agree that distributing, replacing and keeping up with all that stuff can be mind boggling. They pay for their shopper brochure order via credit card, the product is shipped directly to them by the vendor, and you receive a rebate check for the profit. The sale is completed when the customer registers and provides shipping address and credit card information. As soon as the order is completed, both YOU and the customer receive email confirmation.
