Dealing With Sellers' Orders

ScannerScanning handwritten order forms

The first bottleneck for the fundraising distributor

You have picked up those 400 sets of order forms to the school. Now what? If you are using QDP's Ultra or WinUltra Order Tally Software, at least you have a tool specifically designed for entering and managing all that data.

But during the peak portions of the seasons, those orders can come in faster than you can tally them. So you hire good, dependable, temporary help, if you can find it -- and then spend time training them not only in how to tally the orders, but also in the importance of accuracy.

Teleform & TallyScan

Cardiff TELEform logo

What if you could scan those order forms at 40 per minute AND replace up to three data entry operators AND get your orders tallied faster? That is what QDP has made available.

QDP is a Platinum VAR for Teleform . . . and can show you how to design the form and then scan, read and verify the data. Then, TallyScan takes that data, offers a couple super double checks, and places the data into the WinUltra Order Tally Program at the point where you would be if you had just finished manually entering the last order.

Overview

Verification ScreenUsing a high speed document scanner, you will scan specially designed order forms into the computer which will then read those forms and prompt you to verify only questionable data. Processed data is then automatically stored for retrieval into the WinUltra System.

Teleform Elite Modules and Versions

Designer
Designer is used to create and print the order form or composite sheet.

Reader
Reader processes the data. This can happen without an operator present, such as evenings or overnight.

Verifier
The verifier shows you the questionable data in graphic format and allows you to accept or correct what you see. View the data in character (one character at a time) mode, field (a particular entry) mode or forms (entire page) mode.

Elite-Enterprise Edition

The multi-user solution can be installed on a network. Designer, Reader and Verifier can be on separate machines and used simultaneously. Additional readers and verifiers can be added to the network for even faster processing.

Industry Applications

Durham Board of Education. Dr. Michael K. Lancaster, Research and Assessment Officer.

What makes one student stay in school and one drop out? If there is a behavior problem, what disciplinary actions should be taken? Are school leaders doing their jobs? Which teaching strategies are most effective? Is the grading system fair?

These are just a few of the questions educators are faced with daily. The answers are critical if schools are to provide students with a quality education. But obtaining timely, accurate answers can be a challenge.

The research department for the Durham Board of Education supports 60,000 students in 113 schools. The schools routinely conduct surveys to gather information about a wide variety of school-related issues such as curriculum, student attitudes, and evaluation techniques. "For an average K to 8 school of 500 students, the thought of conducting a 25-item survey can be overwhelming," says Dr. Michael Lancaster, Research and Assessment Officer. "A 25-item survey returned by 400 families can yield 10,000 item responses to enter, analyze and report."

The Survey Process

"We do at least two surveys a week," notes Lancaster. Survey topics include student attitudes, literacy assessments, teaching practices, violence and drugs, and safety issues. "The list goes on and on," says Lancaster. "People want information -- and they want it instantly. TELEform is a wonderful tool for gathering needed information quickly and accurately," adds Lancaster.

When a school requests a survey, a research analyst briefly assesses their needs, then designs a form to collect the information.

Once the surveys are created, they are printed, copied and distributed. Completed surveys are then returned to the research department for processing. A Bell and Howell Copy Scan II Scanner is used to quickly scan - about 1,800 surveys per hour - verify and export the data into an SPSS database where, within minutes, the responses are descriptively analyzed and graphically represented. "The system just smokes!" says Lancaster. "If we get the surveys back in the office on Monday, the schools have the results by Friday."
