This page/section is intended to help those who have different tax situations and how to deal with them in WinUltra. This is not a complete list, but hopefully there is enough here to help you with any tax situation.

Inventory

WinUltra 1.2 and previous versions
If you collect taxes on some groups and not others, you MUST set your items up as taxable in inventory. If you only tax retail, then choose Retail. If you only tax wholesale, then chose wholesale. If you tax either retail or wholesale, then choose both. (If you have items, such as food, that are never taxable, set them up as None. Even if they are on a brochure with other taxable items, they will not show tax).

Brochures

WinUltra 1.2 and previous versions
Next, when setting up your brochures you have three choices. First, you can leave the tax field at zero and set it up when you set up the group's header in Data Entry (recommended if you work with several different tax brackets). Second, you can set it up in the brochure (recommended if you always tax the same amount and/or only have a few groups who are not taxed). Third, you can set up your brochure and duplicate it for each tax bracket you work with.

You now keep track of taxes in the Brochure file.  If an item is never taxed, select No Tax (if an item is taxed sometimes, select Retail or Wholesale, you can leave the tax amount at 0).  If an item is taxable, select either Retail or Wholesale (this can be changed later for the group).  If you use a dollar amount rather than a percentage, select Use $$ Amount.

If you use flat tax rates, you can enter a percentage or dollar amount at this time.  If your tax amount varies, leave at zero and set up the rate when starting data entry.

Data Entry

WinUltra 1.2 and previous versions
If you have already set up tax on your brochure, you do not need to do anything to the brochure when setting up your group. If you did not set up the tax on the brochure, you will need to select either Edit or Universal % when the brochure items are displayed on the screen (Edit will allow you to edit each item individually, Universal % will calculate all items at once).

If you have already set up tax on your brochure, you do not need to do anything to the brochure when setting up your group. If you did not set up the tax on the brochure, you will need to select either Edit or Universal % when the brochure items are displayed on the screen (Edit will allow you to edit each item individually, Universal % will calculate all items at once).

If you had selected Universal % when setting up the brochure (either in the brochure module, or when setting up the header) and now you want to modify individual items.  Click Universal % and enter a 0 for the Sales Tax percent.  This will keep the amounts in for all items but will allow you to modify individual items.  If there is a percent in the box, it will override the amounts you type in.

No Taxes

If you do not collect on any of your groups, then you are one of the lucky ones. When setting up your items in inventory (brochures for WinUltra 2.0), you do not need to enter anything under the Tax Type setting.

Retail Tax Only

Seller Collects and Appears on Invoice

If you have followed the instructions above for setting up Inventory, Brochures, and Data Entry, you do not need to make any other changes. Make sure that your packing slips or envelopes have the tax field set up and the amount will be printed. The Invoice will automatically print the Retail tax.

Seller Collects, but Not on Invoice

Set up tax as per above. Complete data entry and run printouts as normal. Before you run the Invoice, go under Data | Modify Header, and change the tax to zero. Accept all screens. The Invoice will not print the Retail tax.

When going under Modify Header, click Universal % and check the Zero Out field.  This will change everything to 0 for the tax field.

Seller Does Not Collect, Appears on Invoice

Set up the brochure for the group with no tax. Do Data Entry and run printouts as normal. Before you run the Invoice, go under Data | Modify Header, and change the tax to the correct amount. Accept all screens. The Invoice will now print the Retail tax.

When setting up the group, be sure to Zero Out the tax field under Universal %.  Tax will not be calculated.  Run printouts.  Before running the invoice, go to Modify Header and select Universal %.  Select the appropriate tax type (Retail or Wholesale - DO NOT SELECT NO TAX) and enter the percentage in the tax field.  Click Accept.  Click Next through Modify Header and Finish.  Now run your Invoice.

Wholesale Tax Only

Seller Collects and Appears on Invoice

This is usually set up as a dollar amount on the brochure rather than a percentage. It still needs to be set up either on the brochure or in Data Entry. If you have followed the instructions above for setting up Inventory, Brochures, and Data Entry, you do not need to make any other changes. Make sure that your packing slips or envelopes have the tax field set up and the amount will be printed. The Invoice will automatically print the Wholesale tax.

Seller Collects, but Not on Invoice

Set up tax as per above. Do Data Entry and run printouts as normal. Before you run the Invoice, go under Data | Modify Header, and change the tax to zero. Accept all screens. The Invoice will not print the Wholesale tax.

Both Retail and Wholesale Tax

There are two ways in which both Retail and Wholesale tax can be used.

Separately

If you have items which are taxed Retail with some groups and Wholesale with others, make sure those items are set up as Both under Inventory.

Tax can be set up as either Retail or Wholesale and changed when you set the group up.

Retail

Set up either your brochure or group header as described above for Retail. See Retail Tax Only above for more information.

Wholesale

If you set up your brochure with Wholesale tax, make sure that the check box is marked next to Base Tax on Wholesale (only do this if the seller is collecting Wholesale tax). Or, when you begin Data Entry and you are asked if Tax is Based on Wholesale, click 'Yes' (only do this if the seller is collecting Wholesale tax). Doing either of the two will calculate tax on Wholesale when you enter a tax amount. If only you only want it to appear on the Invoice, go back in under Data | Modify Header and the brochure pops up, do a Universal % and enter the Wholesale Tax rate and select the box next to Tax based on Wholesale. Accept the rest of the screens and exit. The Invoice will print Wholesale tax. See Wholesale Tax Only above fore more information.

Set up either your brochure or group header as described above for Wholesale. See Retail Tax Only above for more information.

Together

The only scenario for this should be if the sellers collect Retail Tax, but the group is charged Wholesale tax on the Invoice. To do this, setup the the Retail tax on the brochure or in Data Entry (as per above). Tally the orders and run printouts. Before you run the Invoice, go back in under Data | Modify Header and the brochure pops up, do a Universal % and enter the Wholesale Tax rate and select the box next to Tax based on Wholesale. Accept the rest of the screens and exit. The Invoice will print Wholesale tax.

WinUltra 2.0
Before running the Invoice, go to Data | Modify Header and when you do the Universal %, change the Tax Type to Wholesale and enter the wholesale tax amount.
