Copying Group Files
I AM HAVING TROUBLE COPYING THE FILES FROM THE TALLY COMPUTER TO A DISK FOR THE SCANNING COMPUTER. 10/7/99
There should be six group files on the disk; HDR, HDP, SNA, SDT, SBC, BCQ. You can either manually copy those six files, or copy all the files for that group to the disk drive:
COPY path\filename.* a: (Space after copy and after * asterisk)
NOTE: If you have multiple brochures with overlapping product and want to print pack slips in inventory number
order, be sure to turn ON the brochure name attribute for the profile you are using to print.
TRYING TO COPY GROUP BARCODE FILES AND GETTING A "RUNTIME 003" OR "FILE NOT FOUND"
Have you printed your barcoded envelopes or pack slips yet? If not, you need to do that first.
Barcodes
MY SUPPLIER PRINTED A RED BARCODE ON THE PRODUCT, WILL IT SCAN? 9/18/01
This was supposedly done to make the barcode
stand out. There is a possibility that it will with multiple passes, but there
are no guarantees. We would recommend printing a "cheat" barcode in
the WinUltra program to scan instead of the one on the product. You might want
to recommend to the supplier to print their barcodes in black next time.
WHEN UPDATING THE BARCODE FILE I GET A RUNTIME 003. 9/15/00
Exit the program and when you are at the DOS prompt, type cd.. and enter. Type dir data and enter. If it says file does not exist, then you need to create the data directory. Type md data and enter. You should be able to update your barcode file now.
I HAVE THE SAME ITEM ON TWO BROCHURES. THEY HAVE DIFFERENT INVENTORY NUMBERS, DIFFERENT DESIGNATORS AND THE SAME BARCODE. 10/1/99
Same item on two brochures is ok. Different designators is ok. Same barcode is ok. But different inventory numbers with the same barcode number is NOT ok.
Solution: Theoretically, one item (even if on two brochures) should only have one inventory number. Delete one of your inventory numbers. Remember to modify the brochure of the deleted number. The solution will work for all future orders.
I HAVE ENCOUNTERED A NEW TYPE OF BARCODE AND THE SCANNER DOES NOT WANT TO RECOGNIZE IT. IT DOES NOT EVEN BEEP. (8/10/99)
The scanners we sell have the capability to read many types of barcodes. We have pre-programmed them to read the most popular. If you suddenly get bar codes that look drastically different and are not scanning, follow these steps:
- To ensure it is not the scanner itself, scan some other products to determine if it is nothing scanning or just certain items.
- If other items are scanning ok, and these are not:
- If they look normal. Press Esc to go to the Ultrascan menu, go to Utilities and select Alternate Barcodes. Find this barcode and determine that the number entered matches the number on the barcode.
- If the numbers do NOT match, then you have a data entry error. You can enter an Alternate Barcode here in the screen you are in -- temporary solution for the current group. But you need to correct the number in the inventory file on the Tally computer and then recopy that file to disk and update the Scanning computer's barcode file.
- If the numbers DO match, then we can test the barcode. See Using Read Test below.
- If they are NOT NORMAL in appearance, then you are probably dealing with a different kind of barcode. Chances are, the scanner can read it, but we have to enable it to do so.
- Look through the scanner manual (the hardware scanner manual, not the Ultrascan software manual) that came with the scanner (except refurbished, possibly) to try to match the style in question.
- Follow the directions in the scanner hardware manual to scan that barcode into the scanner's memory.
IS THERE ANY WAY TO CHECK A BARCODE? 9/3/99

You can also use READTEST if UltraScan is giving you an invalid item error and you are confident you have entered the barcode number correctly. This will display the number on screen that the barcode represents. We have found instances where the number the barcode represents is not the same as the number under the code. Usually due to the printer leaving out one of the digits to the code.
I AM READY TO START A NEW YEAR. HOW DO I DELETE THE OLD BARCODE FILE? 8/6/99
Whenever you download a new barcode file, you are overwriting the old. But if you really want to make sure, you can use your DOS command (DEL) to delete the file: BCODES.DAT.
WE ENTERED ALTERNATE BARCODES ON THE SCANNING COMPUTER AND NOW THEY ARE GONE.
The Alternate Barcode is intended to address a temporary situation; i.e. you have a substitution or an alternate product and want the scanner to recognize either of two barcodes to be the same thing. When you recopy the Barcode file from the Tally computer, alternate barcodes will be gone. Also, if the disk with your school data also has the barcode file on it, alternate barcodes will be overwritten.
WHY DOES ONE MANUFACTURER'S BARCODES NOT SCAN? OTHERS ON THE SAME DISK ARE SCANNING AND THE NUMBERS MATCH THE LISTING FROM THE MANUFACTURER.
Do not assume the list was accurate. See Using
Read Test below. Verify that number with the number you entered as the barcode number in the WinUltra Inventory file. Also confirm that it matches the number shown in the Alternate Barcodes list in the Utilities section of the scanning computer.
We have encountered instances where the number on the label did not match the barcode -- and also faulty numbers sent by manufacturers.
I HAVE A BARCODE FROM A FOREIGN COUNTRY THAT CONTAINS A 12-DIGIT NUMBER THAT IS THE SAME ON EVERY LABEL, PLUS A 5-DIGIT NUMBER THAT IS UNIQUE TO THE ITEM.
Currently, WinUltra uses a standard 12-digit UPC code. We will take a look at the longer bar code, but any changes will be made to WinUltra and not to the DOS version.
WE HAVE TWO INVENTORY ITEMS WITH THE SAME BARCODE AND IT IS CAUSING A PROBLEM.
Some people assign inventory numbers by brochure. This violates a basic assumption in Ultra that you will have a product in inventory only one time. You can have that same item on multiple brochures, tally those multiple brochures together and even scan the combination. But when you have multiple items with the same barcode number and you are scanning both programs together, UltraScan has no way of knowing which item you scanned and thus the conflict.
I AM TRYING TO PRINT, BUT NOT GETTING BARCODES ON MY PRINTOUTS.
Check in Utilities/Output Profiles for the File Page, Pack Slips and Envelopes to see that you have included the command to print the barcode. Then, be sure you are using that Output Profile when you print.
DOS: You should execute the BARRES command prior to loading Ultra v7.2.
I HAVE SOME ITEMS WITHOUT BARCODES. WHAT ARE MY OPTIONS?
- Use the keypad to manually enter the number -- not recommended.
- Run barcode labels and affix them to the products. Go to Inventory / Print / Barcodes -- put the cursor in the quantity column for each item you want to create labels for -- and then select Print Barcodes.
- Follow step 2 to create one label per product and make a "Cheat Sheet" to post by the scanner.
- Call the supplier and demand they take care of your situation.
I ALREADY DID MY TALLIES, THEN ADDED BARCODES TO INVENTORY. DO I HAVE TO RE-ENTER THE SCHOOL TO GET BARCODES ON THE PRINTOUTS? 8/15/00
No. You can enter the barcodes into inventory after entering the school. Be sure to update the barcode file on the scanning computer.
After Scanning File Page
I SCANNED THE SELLER'S ORDER AND AM GETTING A GENERAL PROTECTION FAULT (WINSCAN). 10/15/01
For some reason, the files did not get copied
over correctly. Exit the program and go to the DOS Prompt (Start |
Programs | MS DOS Prompt). With the disk in the computer, type copy a:\*.*
c:\data and press Enter (there is a space after copy and the
a:\*.*). If you are asked if you want to overwrite, tell it yes.
Type exit and go back into the scanning program. You should now be able to
scan the seller's order.
SCANNED FILE PAGE, GETTING FILE NOT FOUND. 10/3/01
First, make sure you have the correct file
page for the group. Second, try recreating the group disk in WinUltra
(File Copy - Barcodes). If this does not work, you can manually copy the
files into the c:\data directory of the scanning computer. To do this, go
to the DOS Prompt (Start | Programs | MS DOS Prompt).
Type copy a:\*.* c:\data (there is a
space after the word copy and after the a:\*.*) and press Enter. Type exit
and enter the program as you normally would.
SCANNED FILE PAGE AND PACK SLIP. WENT TO SCAN ITEM AND NOTHING HAPPENS. 9/13/01
How many items are on your brochure(s)?
If you are using UltraScan (DOS) there is a 500 item limit and you will have to
check the orders manually.
I AM GETTING INCORRECT ITEM SCANNED. I CHECKED THE BARCODE ON THE PRODUCT AND THE BARCODE LISTING - THEY ARE THE SAME. 9/5/01
See Using Read Test below. Scan
the barcode on the product and check the numbers on the screen with the numbers
printed on the barcode. If they are different, enter the barcode on
screen. We have found instances where the number printed on the barcode
and what it actually reads in are different.
I AM GETTING A RUNTIME 003. 3/9/01
This is a 'file path not found' error. Make sure that the destination file path is set to c:\data\ (make sure the \ is at the end). If that is correct, check the filename for the group. It MUST NOT CONTAIN ANY DASHES, SPACES, OR CHARACTERS OTHER THAN LETTERS AND NUMBERS!!! You will have to rename each of the files on the main computer and then reprint the file page and re-copy the group's files to take to the scanning computer.
I SCANNED THE FILE PAGE AND THEN SCANNED THE STUDENT'S PACK SLIP/ENVELOPE. THE WRONG STUDENTS AND ORDERS ARE APPEARING. 3/5/01
If you added any sellers to the tally make sure that after you ran their packing slips or envelopes that you remade the group's disk (file copy - barcodes). If that is not the problem, make sure that the filename of the group is not one that was used
in a previous season. If is was, you will need to delete the old group's files from the data directory on the scanning computer.
- Exit the scanning program.
- At the c:\scanner prompt type cd\data press enter.
- You should now be at the c:\data directory. Type del filename.* press enter.
- Now type cd\scanner to return to the scanner prompt and go back to scanning.
I SCANNED THE FILE PAGE AND GOT A RUNTIME ERROR 161. 2/26/01
Runtime 161 is a device read fault. Basically, you have a bad disk and need to recopy the group
files onto a new disk.
I SCANNED THE FILE PAGE AND IT JUST KEEPS READING THE A: DRIVE. 11/17/00
Exit the program and go to the c:\data directory. Check the SCF and NQF files. If one or both are zero (0), delete them and try again.
I HAVE COPIED MY GROUP DATA FILE TO A DISK, HAVE THAT DISK IN THE DRIVE FOR THE SCANNING COMPUTER AND HAVE SCANNED THE BARCODE ON THE FILE PAGE. THE SCREEN TELLS ME IT IS COPYING AND THEN PROMPTS ME TO PUT THE DISK IN . . . (IT IS ALREADY THERE). 9/3/99
- Go to Utilities | System Settings (Utilities | System Data
on WinScan 1.0). Check the Source path. It should be A:. If the disk drive light came on when you scanned the File page, then this setting is probably ok.
- Check the Destination path. The default is C:\DATA . Ensure it was created:
- Exit the WinScan program and go to Start | Run and type
command click OK.
- At the
first prompt, type cd.. and press Enter.
Repeat this command until you are at the c:\> prompt.
- Next, type md data and press enter (there is a space between md
and data).
- Type exit and press Enter. You
should now be able to go into the program and copy the barcode file.
- Did you run the printouts BEFORE you copied the Group Data Files? Should be YES. Some files are created as you print, so if you copied the files before printing, there are files missing from the disk. Print the forms with the barcodes (envelopes or pack slips) and the re-copy.
- Did you copy files with barcodes? Here is how to check: Look at the files on the disk. Normal file copy will copy nine (9) files. Copying with barcodes should copy six (6) files. Extensions are: HDP, HDR, SNA, SDT and two barcode files are created as you print, SBC and BCQ.
- If you see 9 files, go back and recopy with barcodes.
- If you see 4 files, you need to print the envelopes or pack slips and re-copy with barcodes.
- If you see 6 files (with the extensions listed above), then we need to keep looking.
- Try the process on another disk. Sometimes the disk is bad.
I SCANNED THE FILE PAGE, THE DISK IS IN THE DISK DRIVE, BUT THE COMPUTER IS ASKING ME TO INSERT THE DISK TO CONTINUE. (OR BEEPS AND SAYS "READY TO SCAN...")
Check the Source and Destination File Path on the scanning computer.
Under Utilities | System Settings. Source should be a:. Destination should
be c:\data\.
NOTHING SCANS RIGHT. I RE-COPIED MY BARCODE FILES, COPIED THE GROUP FILES WITH BARCODES (DID IT ON A SECOND DISK JUST IN CASE THE GROUP DISK WAS BAD) AND UPDATED THE BARCODE FILE ON THE SCANNING COMPUTER.
- Put the barcode disk in drive and and use DOS or Windows Explorer to see what the size of the bcodes.dat file is.
- Check the c:\data\bcodes.dat file and make sure it is the same.
- Make sure that you do not have two inventory numbers with the same barcode number in the inventory file.
- If the above are all checked and all ok, then there is a high probability that there is something wrong with the barcode disk.
WHEN I SCAN THE FILE PAGE BARCODE NOTHING HAPPENS
- If the scanner is not beeping or you have no light, ensure that the scanner is plugged in (including the power supply)? If it is...
- Especially if something has changed, i.e. new or different combination of computer and scanner . . .
- Check the com port setting and try the other one. (Press Esc to go to the menu, select Utilities and Com Port settings).
You may need to exit the program after you select the com port to force it to
save.
- If you still get nothing . . .
- To check the scanner (and com port setting), see Using
Read Test below. The number that barcode represents should be displayed on the screen. If NOT, either the com port is not correct or there is a conflict with the com port.
See Using Hyper Terminal below to determine if it
is the com port.
- Other things to check:
- Copying group files
- Did you print barcoded reports (envelopes, etc) before copying the group files? If not, do that and repeat the process.
- Repeat the process on a different formatted disk.
I GET A RUNTIME 100 WHEN I SCAN.
- You made changes in the school file, re-copied printouts but did not re-copy the school file to the scanning computer.
- You did File Copy instead of File Copy - Barcodes.
- There was a flaw on the $.25 disk. Try re-copying on a new
disk.
GOT A RUNTIME 103 SCANNING FILE PAGE
That is a "File Not Open" message. Ensure that the
correct Group File is on the disk that is in Drive A as you scan the File Page.
If this is a group you have worked with before, make sure you have the correct
files and file page.
There should be six group files on the disk: HDR, HDP, SNA, SDT, SBC, BCQ.
The last two are scanner files created when you print bar coded pack slips or envelopes. If they are not there:
- Ensure that you did the Group File Copy Bar Codes.
- That you are copying from the computer that ran the printouts.
Make sure that the group's filename does not contain any dashes, spaces, or other non-alphanumeric characters.
RUNTIME 002 WHEN TRYING TO SCAN FILE PAGE
Missing file error. Create the Barcode File from the tally computer and update the scanning computer.
I HAVE ENTERED THE TALLY, PRINTED THE PRINTOUTS (WITH BARCODES), COPIED THE DATA FILE (WITH BARCODES) TO THE DISK, SCANNED THE FILE PAGE . . . AND GET THE MESSAGE "NOW READY TO SCAN" . . . BUT DO NOT SEE THE NAME OF THE GROUP . . .
- Check the data/file path. From the screen you see now, press Esc to go to the UltraScan Menu. Select Utilities
| File Path. It should be A: or B:, depending on your disk drive. If that is ok . . .
- Ensure that you copied the data disk AFTER printing the barcoded reports and that you copied WITH barcodes. If you did, then . . .
- Try doing it again with a new formatted disk, to eliminate the possibility you have a defective disk.
- Is this the first time you are trying to scan?
- If everything else is ok . . . then we have to consider a conflict with the COM port.

there is a problem with the com port.
I SCANNED THE FILE PAGE AND THE PROGRAM EXITS BACK TO WINDOWS. 8/15/00
Did you delete the files in the the c:\data directory? If you did, then you must reload the barcode file.
I SCANNED FILE PAGE AND STUDENT'S ORDER, PRODUCT DOES NOT SCAN RIGHT. WHEN I CHECKED THE BARCODE LISTING, THE OLD BARCODES APPEAR. 8/15/00.
Did you copy the group file onto a disk with an old barcode file? If you did, you must recopy the group file onto a new disk, and recopy the barcode file.

HOW DO I MAKE THE ERROR SOUNDS LOUDER IN ULTRASCAN? 10/3/01
The sounds in UltraScan are generate inside
the computer and are do not go through the speakers. The best way to
improve the sound is to hard-wire the speakers to the computer (this is not
covered under QDP tech support).
ARE THERE ANY LIMITATIONS TO THE PROGRAM? 9/13/01
In the UltraScan (DOS) program there is a 500
item limit in the software. If you are using more that 500 items on one
group, you will have to manually check it.
I PURCHASED MY OWN SCANNER, HOW DO I PROGRAM IT? 9/7/01
QDP does not support scanners which are not
purchased through us and will spend no time instructing users on setting them up
without a paid contract with QDP. We will tell you that the scanner must
be able to read UPC/EAN barcodes, Code 39 barcodes, and on occasion Interleaved
2 of 5 barcodes. Consult your user's manual, or the company you purchased
the scanner from.
I AM GETTING A SECURITY ERROR (6143-XXXX-XXXX) STARTING THE PROGRAM. 8/27/00
Somehow, there was a timer set on the key. Please call QDP to have the timer removed.
CAN I SCAN A SCHOOL ON TWO COMPUTERS? 11/17/00
Yes, but be aware if you are using the Report Module that the reports will not be correct. There is no need to make more disks. Insert the disk in the first computer and scan the file page. Once it brings up the Scan Order Prompt, take out the disk and take it and the file page to the second computer.
I AM GETTING A SECURITY ERROR (6043-XXXX-XXXX) STARTING THE PROGRAM. 11/17/00
Make sure the scanner key is on the parallel
(printer) port on the back of the computer. If the key is there, try unplugging
it and plugging it back in. If this doesn't work, we need to determine if
it is the printer port or the key causing problems. Unplug the key and try
hooking up a printer to the computer. Go to any word processing program
type a couple of lines and see if it prints. If nothing prints it is the
printer port and you will need to have it checked out by a computer shop. If it
does print, give us a call.
I CHANGED/ADDED SELLERS IN DATA ENTRY, DO I HAVE TO RERUN ALL PACK SLIPS FOR ULTRASCAN TO WORK? 11/17/00
You only need to reprint those students who were changed or added. Remake the group disk and take to the scanning computer.
IF I PURCHASE AN ADDITIONAL SCANNER, DO I HAVE TO PURCHASE ADDITIONAL SOFTWARE OR KEYS FROM QDP? 8/10/99
No. You can either copy the program and barcode files from Computer 1 to Computer 2, or you can re-install onto computer #2 from the original program disk. You will have to update the barcode file on computer #2. The key comes at no cost with the scanner, if purchased from QDP.
HOW DO I RUN ULTRASCAN IF MY COMPUTER BOOTS UP IN WINDOWS AND SHOWS ME A DESKTOP? 8/6/99
If UltraScan is the only program you are going to run on the scanning computer in the packing room, then you really do not need to boot up in Windows. You have two choices:
- Remove the command to load Windows from your startup routines so that the computer will boot in DOS (see your Windows manual) . . . OR
- From the desktop:
- Choose Start/Shut Down/Restart in DOS Mode
- Type CD\Scanner and press enter
- From the C:\Scanner prompt, type SCANMENU and press enter.
PACKING SHORT (BACKORDERS), HOW DO I KNOW THE ORDER IS CORRECT IF I DO NOT GET A GREEN LIGHT?
There will be a white column of "OK" boxes to the right of the product. The only missing "OK" should be the backordered product. You will need to manually assure that to be the case and then proceed to the next order.
PART OF MY ENVELOPES (PACK SLIPS) SCAN OK BUT OTHERS ARE COMING UP AS THE WRONG SELLER
Did the printer jam? The scan file is created AS YOU PRINT the pack slips or envelopes with barcode. If the computer was unable to close the file, it is possible that when you rebooted, the file was deleted. Then, when you printed the second range of pack slips, the first one printed was assigned #1 in the record file. The only solution in this case is to reprint the entire set. You might want to consider printing plain paper pack slips with barcodes and using those for scanning.
If you have reprinted and recopied and the students are still coming up wrong, you will need to delete the SBC and BCQ files from that group's data. Then rerun your pack slips or envelopes to recreate these files. Then recopy the group's barcode file.
Or, make sure that the filename for the group is not a filename that was used previously. If it was, delete that filename from the c:\data directory on the scanning computer and start the new group again.
HOW DO I STOP (OR HOW DO I RE-DO) OR (HOW DO I PROCEED TO THE NEXT ORDER)???
To re-check or start over, re-scan the barcode. To proceed to the next order, scan the next barcode.
I GOT A RUNTIME 154 TRYING TO PRINT A SCHOOL WITH PROBLEMS. 8/15/00
This error indicates something is wrong with the disk. If the data is on the hard drive, it may be full. If it is on a floppy disk, it may be a bad disk.
CAN I PRINT BARCODE LABELS ON MY LASER PRINTER? 8/15/00
Barcode labels are not designed for the laser labels available at office supply stores. This may be a possibility in the future.
HOW CAN I GET THE COM PORT SETTING TO STAY ON THE CORRECT COM PORT? 8/15/00
Set the COM port and exit the program. Now come back in. This should force it to save
